VACATURE: Travel and Visa Assistant (Libanon Tribunaal)

 Responsibilities

Under the supervision of the Travel and Visa Supervisor and within delegated authority, the Travel and Visa Assistant is responsible for the following duties: Receive, log and route applications for visa, residence permits and other entitlements (i.e. purchase of tax-free vehicles, applications for Dutch driving license, tax-free goods, etc.) for STL staff members and other personnel working at the Tribunal and their family members forming part of their households appropriately. Liaise with the Dutch Ministry of Foreign Affairs concerning queries pertaining to those applications. Upon receipt of those documents, distribute them and update databases accordingly. Maintain and update staff files and lists of personal and contact details in-house and at the Ministry of Foreign Affairs, customs and specific Embassies. Calculate airfare, excess baggage entitlements, terminal expenses, daily subsistence allowance for staff traveling on missions or for staff and their dependents traveling on assignment, lump sum for HR travel.

Plan routes and itineraries on the most economical route according to travel rules and regulations and provide information on these to clients. Contact airlines or travel agencies to make reservations and request issuance of tickets. Advise substantive offices, travelers, and other relevant staff of arrival information, requesting arrangements to be made according to travelers' needs. Act as a back-up for any other administrative functions in support to the General Services Section as requested, e.g. attendance recordkeeping, running the helpdesk, secretarial duties, mail and pouch, transport, etc.
Knowledge and Skills
• Professionalism – A thorough knowledge of travel and visa related rules and regulations. Is conscientious and efficient in meeting commitments observing deadlines and achieving results. Demonstrated ability to use computer technology and proficiency in the use of fares and ticketing systems.

• Communication –Ability to write in a clear and concise manner and to communicate effectively orally.

• Planning& Organizing – Effective organizational skills and ability to handle a large volume of work in an efficient and timely manner.

• Client Orientation – Ability to identify client’s needs and appropriate solutions; ability to establish and maintain productive partnerships.
Qualifications
• Education: High School Diploma or equivalent. Post secondary coursework, training and/or certification as an administrative assistant/secretary is an asset. Level 2 Certificate for airport passenger services agent is highly desirable. Clean of records driver's licence would be an advantage.

• Work Experience: At least 5 years of relevant experience in a similar office environment. Experience in a travel/visa unit of an international setting is highly desirable.

• Languages: Arabic, English and French are the official languages of the Special Tribunal for Lebanon. For this post proficiency in oral and written English is required. Knowledge of Dutch is highly desirable. Knowledge of the other official languages is an asset.
